If you have already applied or started an application
If your organisation has already submitted a grant application using the existing forms or process, or if you have started an application in SmartyGrants that is substantially complete, you do not need to take any further action at this stage.
The City of Swan Grants team will be in contact with you as soon as possible to discuss next steps. Due to the high volume of applications received, this may take a few days, and we apologise for the delay.
$2K and Under, Activation, Community, Event, Proactive, and Swan Lends a Hand grants welcome applications from:
- registered not-for-profits
- incorporated organisations
- associations
- companies limited by guarantee
- Indigenous corporations
- Co-operatives and social enterprises
- businesses running not-for-profit activities.
If you are applying for one of the above grants and you do not see your organisation structure on this list, you will need to find a suitable local business or organisation to Auspice your grant. They will need to have Public Liability Insurance that covers your planned activity.
The City’s Business and Tourism team run Business Grants, which are open to small businesses – you can find out more in their Guidelines.
- Have already started or happened
- Will start within the next 10 weeks
- Mainly benefit people outside the City of Swan

- Include a capital purchase over $5,000
- Require all attendees to pay to participate
- Duplicate a service already provided by government agencies
- Have already received a Swan grant for the same project
- Promote or seek to influence political or religious views
- Involve lobbying politicians or government
- Include charitable fundraising without a Charitable Collections Licence
- Mainly benefit a business or commercial interest.
We welcome EOI’s and applications for activities that maximise community benefit, address real issues, and most meaningfully impact Swan Residents.
If you are invited to apply, you’ll be asked how your idea helps achieve one or more of the following key community priorities, identified in the City’s Strategic Community Plan:
- S1.1 - Work with community and partners to create a safer City
- S2.1 - Facilitate, partner and deliver a range of services and recreational opportunities that support health and wellbeing
- S3.1 - Foster opportunities for community connection
- S3.2 - Deliver and support inclusive events, services and facilities to meet current and future needs
- E1.2 - Assist and encourage thriving activity centres
- N1.1 - Enhance, preserve and protect local biodiversity and natural ecosystems.
Applications should be submitted at least 10 weeks before the project start date. Late applications will be considered on a case-by-case basis and may be less competitive.
You’ll need to consider that it may take 21 business days to hear back about your EOI, and then a further eight weeks to hear if a full application is successful. These response times are impacted during periods of high-demand.
Successful grant applicants receive funds around 30 days from the date you return a signed Grant Agreement and Invoice to the City.
If your application succeeds and you'd prefer to receive funds before your start date, applying four to six months in advance is recommended.
If your project involves any events, apply for City event approval well in advance and a minimum of six weeks before the event. Applying for event approval more than six weeks prior to your event dates is recommended.
- Applicants access the EOI via the City of Swan grants webpage, under each available grants stream
- The EOI is completed and submitted in SmartyGrants
- Applicants can save progress and return to the form before submitting, as usual
The EOI process applies to requests over $2,000 in the Activation, Community, Event and Proactive grant streams.
Requests for $2K or Under, Cash Donations and Swan Lends a Hand are accepted through a streamlined application, with no EOI necessary.
The City’s Business and Tourism team accepts Small Business Grants applications in full, with no EOI process in place for these grants.
TIP - Save your answers in a document outside of SmartyGrants in case a round closes before you submit. You cannot continue working on applications if they're not submitted when a round closes.
While every effort is being made to respond as quickly as possible, email and phone responses may take 10 business days. We aim to inform you whether your EOI has prompted an invitation to apply in around 21 business days, and to assess full applications around eight weeks after submission.
We appreciate your patience.
You’ll receive an email from SmartyGrants, and you’ll see a new form when you click on your application in My Submissions.
Full applications are usually assessed within 8 - 12 weeks. Remember, being invited to apply is not a guarantee of funding, and project and event planners engaging with grants should always have back-up plans for if their application is not successful, or results in less funding than requested.
You can also access the full application form by following instructions in the automatically generated SmartyGrants invitation email. These emails come from service@smartygrants.com.au.
TIP: Add this email to your contacts to prevent important communications from going to your junk or spam folders.
The full application form pulls answers from your EOI to save you repeating yourself, except for contact fields and official confirmation at the end. You can edit previous answers, or leave them unchanged.
Applications received from around March to July may be delayed by end of financial year processes. Our team will keep you informed if that’s the case.
When a grant stream is closed, you cannot submit partially completed applications, so it's best to save your answers in a separate document just in case.
