Community Grants and Funding Frequently Asked Questions

If you have already applied or started an application

If your organisation has already submitted a grant application using the existing forms or process, or if you have started an application in SmartyGrants that is substantially complete, you do not need to take any further action at this stage.

The City of Swan Grants team will be in contact with you as soon as possible to discuss next steps. Due to the high volume of applications received, this may take a few days, and we apologise for the delay.

This financial year, the City of Swan has received a much higher number of grant enquiries and applications than usual. To manage demand fairly and ensure funding and support can be focused where most needed, the City has introduced an interim Expression of Interest (EOI) process.

No. At this time, the City is not accepting applications requesting $2,000 or under.

This applies across all City of Swan Community Grants and Funding Program streams.

Community organisations, groups and individuals who would normally be eligible for City of Swan grants may submit an Expression of Interest (EOI) during the interim period, unless otherwise advised.

An expression of interest (EOI) is a short initial step that allows organisations to outline their project idea before being invited to complete a full grant application.

The EOI process helps the City to:
  • Understand project ideas earlier
  • Manage demand across the program
  • Focus assessment resources on projects that are best aligned with community priorities.

Not all EOIs will be invited to progress to a full application.

The EOI process is an interim arrangement and will operate from now until July 2026.

No. There are currently no closing dates for the EOI process.

The initial EOI can be submitted at any time while the interim arrangements are in place.

EOIs are submitted online through SmartyGrants, which is the City of Swan’s usual grants management system.

Once the EOI process is open:
  • Applicants access the EOI via the City of Swan grants webpage
  • The EOI is completed and submitted in SmartyGrants
  • Applicants can save progress and return to the form before submitting, as usual.

Guidance information will be provided alongside the EOI to help organisations understand what information is required.

The interim EOI process and the $2,000 minimum request threshold apply to all streams within the City of Swan Community Grants and Funding Program.

If your organisation has:
  • Already submitted an application using the existing forms or process, or
  • Started an application in SmartyGrants that is substantially complete.

You do not need to take any further action at this stage.

The City of Swan Grants Team will contact you as soon as possible to discuss next steps.

If your application is substantially complete, the Grants team will contact you.

If your application is not substantially complete, you may be asked to submit an EOI instead.

If you are unsure, you can contact the Grants team for guidance.

The Grants team is currently managing a high volume of enquiries and applications.

While every effort is being made to respond as quickly as possible, responses and follow up may take a few days.

We appreciate your patience.

If your EOI aligns with program objectives and your organisation is well placed to deliver the project, you may be invited to submit a full grant application through SmartyGrants.

Full applications are usually assessed within about 8-12 weeks.

Any funding recommended through this process will be subject to adoption of the 2026/27 City budget, with grant payments available after July 1.

If you have questions about the interim EOI process, eligibility, or timing, you can contact the City of Swan Grants team at the contact details below.

Please note that response times may be longer than usual due to high demand. Thank you for your understanding.
