If you have already applied or started an application

If your organisation has already submitted a grant application using the existing forms or process, or if you have started an application in SmartyGrants that is substantially complete, you do not need to take any further action at this stage.

The City of Swan Grants team will be in contact with you as soon as possible to discuss next steps. Due to the high volume of applications received, this may take a few days, and we apologise for the delay.

This financial year, the City of Swan has received a much higher number of grant enquiries and applications than usual. To manage demand fairly and ensure funding and support can be focused where most needed, the City has introduced an Expression of Interest (EOI) process, with rolling assessments instead of rounds that have submission deadlines.

While there are no longer set submission deadlines, your application must be submitted well in advance of your project start date. A minimum lead time of 10 weeks is recommended.

No. At this time, the City is not accepting applications requesting $2,000 or under. This applies across all City of Swan Community Grants and Funding Program streams.

An Expression of Interest (EOI) is a short initial step that allows organisations to outline their project idea.

The EOI process helps the City to:

  • Understand project ideas earlier
  • Manage demand across the program
  • Focus assessment resources on projects that are best aligned with community priorities

Not all EOIs will be invited to progress to a full application.

No. There are currently no closing dates for the EOI process.

The initial EOI can be submitted at any time. Just make sure you leave reasonable timeframes between EOI submission and your project dates – you’ll need to consider that it may take 21 days to hear back about your EOI, and then a further 6 weeks to hear if a full application is successful.

EOIs are submitted online through SmartyGrants, which is the City of Swan’s usual grants management system.

  • Applicants access the EOI via the City of Swan grants webpage, under each available grants stream.
  • The EOI is completed and submitted in SmartyGrants
  • Applicants can save progress and return to the form before submitting, as usual

The EOI process for requests over $2,000 applies to the Activation, Community, Event Sponsorship and Proactive grant streams.

We are not currently accepting requests for $2,000 or under, Cash Donations, or Swan Lends a Hand. These streams will reopen in the new financial year.

If your application is not substantially complete, save your answers in a document of your own, and submit an EOI instead.

The Grants Team is currently managing a high volume of enquiries and applications.
While every effort is being made to respond as quickly as possible, responses and follow up may take a few days.

If your EOI aligns with program objectives and your organisation is well placed to deliver the project, you may be invited to submit a full grant application through SmartyGrants. You’ll receive an email from SmartyGrants, and you’ll see a new form when you click on the application in “My Submissions”.

Full applications are usually assessed within approximately 8 - 12 weeks.

Any funding approved between May and July 2026 will be subject to adoption of the 2026/27 City budget. There may be payment delays for some applicants across July due to end of financial year processes.

Our usual payment term is 30 days after the date of invoice, so payments in July make take longer.
